1. Information We Collect
Panther City Golf Co. (“we,” “us,” “our”) collects information you provide when making a booking or inquiry, including your name, email address, phone number, and event details. We do not collect payment card numbers directly — payments are processed by Stripe. When you visit our website, we also collect a one-way hash of your IP address (not the IP itself), basic device information, and the page that referred you, as described in Section 5.
2. How We Use Your Information
- To confirm and manage your event booking
- To send booking confirmations, reminders, and follow-ups
- To send SMS messages about your booking, if you opt in (see Section 6)
- To respond to your inquiries
- To improve our services and understand which marketing channels reach our customers (see Section 5)
3. Information Sharing
We do not sell, trade, or rent your personal information. We share data only with service providers necessary to operate our business — Stripe (payments), Google (analytics and email delivery via Google Workspace), Resend (transactional email), Twilio (SMS, if you opt in), and Meta (only if you contact us via Instagram Direct Message) — and only as required by law.
4. Data Retention
We retain booking records for 3 years for accounting purposes. Anonymous website-attribution data (cookies, IP hashes, scan events) is retained for 24 months. SMS conversation logs are retained for 3 years alongside the booking record. You may request deletion of your personal data by emailing us at book@panthercitygolfco.com.
5. Cookies, QR Codes, and Attribution Tracking
Our website uses standard WordPress cookies for functionality and Google Analytics cookies for anonymous traffic analysis.
We also use a first-party session cookie named pcgc_sid to understand which of our marketing channels — business cards, flyers, signs, social posts — reach people who eventually become customers. When you scan one of our QR codes or click a tagged link, we set this cookie (90-day lifetime) and log an anonymous “touchpoint” containing the scan source, the page you landed on, your browser type, and a one-way hash of your IP address (we never store the raw IP). On its own this data is anonymous. It becomes linked to your contact record only if you choose to submit our contact form or book an event from the same browser. We retain this attribution data for 24 months.
You may disable cookies in your browser settings. To request deletion of attribution data already linked to your contact record, email us.
6. SMS Communications
If you opt in to SMS communications by checking the consent box on our booking inquiry form, by indicating SMS as your preferred contact method, or by verbally consenting during a quote conversation, you agree to receive text messages from Panther City Golf Co. about your event, payment reminders, and occasional updates. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe at any time. Reply HELP for help. We do not share your phone number with third parties for marketing purposes. 7. Email Delivery Logging
When we send you an event-related email (confirmations, reminders, follow-ups), we log the delivery to ensure it arrived. We do not include open-tracking pixels in customer-facing email.
